To confirm a cash-on-delivery order on WhatsApp, send the customer one message as soon as the order is placed with the items, total amount to pay in cash, delivery address and expected delivery date, and ask them to reply YES to confirm or NO to cancel. Ship only confirmed orders. If there's no reply, send one reminder, then call or cancel according to a fixed rule. Confirming in writing catches wrong addresses, accidental orders and buyers who've changed their minds before you pay for a courier.
Below: what the message must include, when to send it, how to handle every kind of reply, and 9 templates you can copy, plus how to do it automatically on the WhatsApp Business Platform.
Why confirm cash-on-delivery orders?
With cash on delivery, the customer hasn't paid anything when they order. That's why buyers like it, and why sellers lose money on it. A COD order can go wrong in several ways before it reaches the door:
The customer didn't mean it. An impulse order, a test, a child playing with a phone.
They've changed their mind by the time the courier arrives.
The address or phone number is wrong, so the courier can't deliver.
They don't have the cash ready, or the amount surprises them.
The order is fake or placed to waste your time.
Each refused parcel costs you delivery, often a return charge, packing time, and stock that was unavailable to real buyers while it travelled. A confirmation message costs almost nothing and filters out many of these before you spend anything.
What a good confirmation message includes
Every COD confirmation should have:
☐ Order number
☐ Items, with size or variant and quantity
☐ Total to pay in cash, stated clearly and including delivery
☐ Delivery address as you have it
☐ Phone number the courier will call
☐ Expected delivery date or window
☐ A clear action: reply YES to confirm, NO to cancel, or tell us what to change
☐ A deadline for replying
The total in cash is the single most important line. Many refusals come from the customer not realising, or not remembering, how much they'll have to pay.
When to send it
Moment | Message | Why |
|---|---|---|
Right after the order is placed | Confirmation request | Catches mistakes while the order is fresh in their mind |
A few hours later, if no reply | One reminder | Gives a second chance without pressure |
When it ships | Shipped + amount reminder | Keeps the cash amount in mind |
On the day of delivery | Out for delivery | Makes sure someone's home with the money |
Send the first message within minutes if you can. A customer who ordered five minutes ago remembers ordering; one who ordered yesterday may not.
The confirmation flow
Order placed
→ Send confirmation request
→ YES → mark "COD confirmed" → pack and ship
→ NO → cancel, release stock, thank them
→ CHANGE → update the order → send new summary → wait for YES
→ No reply → one reminder after [X hours]
→ YES / NO / CHANGE → as above
→ still no reply → call once → confirm or cancelWrite down your no-reply rule and apply it the same way every time. A common one: remind after 4–6 hours, call after 24 hours, cancel if still unreachable. Adjust to your delivery times and how your customers usually behave.

Doing it automatically with the WhatsApp Business Platform
On the free WhatsApp Business app, you send these yourself, which quick replies make fast (save each template under a shortcut like /codconfirm). Once you have many orders a day, the WhatsApp Business Platform (API) can send them automatically. A few things are different:
Use approved templates. When the customer hasn't messaged you in the last 24 hours, as with most website orders, you can only start the conversation with a message template Meta has approved. Order confirmations are usually submitted in the utility category.
Add quick-reply buttons. Templates can include buttons such as "Confirm order" and "Cancel order", which customers tap instead of typing. Responses are faster and easier to process automatically.
Get opt-in. Add a line at checkout: "We'll confirm your order on WhatsApp," with a tick box or clear notice.
Connect it to your orders. The confirmation should update the order status automatically: "Confirm" marks it ready to pack; "Cancel" cancels it and releases stock.
An approved template might look like this, where {{1}}, {{2}} and so on are filled in for each order:
Hi {{1}}, thank you for your order #{{2}}!
Cash to pay on delivery: {{3}}
Delivery to: {{4}}
Expected: {{5}}
Please confirm so we can ship your order.
[Confirm order] [Cancel order]If you're deciding whether to move to the API, see WhatsApp Business App vs WhatsApp API.
Mistakes to avoid
Shipping before the confirmation. The whole point is to wait for "YES".
Hiding the total. If the customer has to work out how much to pay, some will be surprised at the door.
Treating no reply as yes. Silence isn't confirmation. Follow your no-reply rule.
Sending five reminders. One reminder and one call is enough. More feels like pressure and gets you blocked.
Inconsistent rules. If one team member ships unconfirmed orders and another doesn't, your numbers will tell you nothing.
Not recording the result. Note "COD confirmed", "cancelled" or "no reply" on every order so you can measure what's working.
Measure whether it's working
Track these for a month:
Confirmation rate = confirmed orders ÷ COD orders placed
Refusal rate = refused or returned parcels ÷ COD orders shippedCompare the refusal rate for orders that were confirmed with your rate before you started confirming. If confirmed orders are still often refused, look at the reasons: wrong addresses, surprise at the amount or delivery taking too long point to different fixes.

Common questions
Why do customers refuse cash-on-delivery orders?
Common reasons include ordering on impulse and changing their mind, not having the cash ready, being surprised by the total, wrong address or phone details, slow delivery, and fake orders. Confirming the order and the cash amount in writing before shipping addresses several of these at once.
When should I send the COD confirmation message?
Within minutes of the order being placed, while the customer still remembers ordering. Send one reminder a few hours later if they haven't replied.
What if the customer doesn't reply?
Follow a fixed rule: for example, one reminder after a few hours, one call after 24 hours, then cancel if you still can't reach them. Don't ship unconfirmed orders.
Can I send COD confirmations automatically on WhatsApp?
Yes, through the WhatsApp Business Platform (API) with an approved message template, usually with "Confirm" and "Cancel" buttons. On the free WhatsApp Business app you send them yourself, using quick replies to save time.
Should I ask for an advance on COD orders?
For large orders or customers with a history of refused parcels, asking for a small advance to cover delivery is common and reasonable. Present it as a standard policy for orders over a certain amount.
